  • Damage map

    A damage map is an interactive vehicle diagram letting staff pinpoint the location and type of damage at handover and return. Combined with photos and a customer signature, it's evidence that ends disputes.

  • Pre-authorization deposit

    A pre-authorization deposit is a temporary hold on a customer's card (not a charge) as security against damage. The payment gateway guarantees the funds without actually moving them – the hold lifts on return.

  • OTA channel sync

    OTA channel sync is the bi-directional exchange of availability and bookings between a rental's system and online travel agencies (Rentalcars, Discover Cars, AutoEurope). It prevents overbooking and lets you sell across multiple channels at once.

  • Fleet utilization

    Fleet utilization is the percentage of time a vehicle generates revenue – the headline rental profitability metric. Calculated as (rented days / available days) × 100. Healthy: 60–75% for cars, 40–55% for seasonal gear.

  • Driver KYC (Know Your Customer)

    Driver KYC for rentals is the verification of customer identity + driving license validity before vehicle release – typically via document scan, OCR, and optional selfie + liveness check.

  • Hour-meter tracking

    Hour-meter tracking is the systematic recording of engine runtime hours for construction equipment, boats, motorcycles, and sports gear. It powers precise service scheduling and per-hour billing.

  • Kit composition rental

    Kit composition is renting a bundle of components as a single unit: a ski set = skis + boots + poles + helmet. The system tracks availability of every component together.

  • Reservation Ledger

    Reservation Ledger is an append-only record of every financial operation on a reservation: deposits, charges, refunds, deposit captures, adjustments. It rebuilds the full financial history and is the audit foundation.

  • Damage waiver

    A damage waiver is a document the customer signs before renting high-risk gear (jet-ski, motorcycle, skis), accepting use terms, injury risk, and damage liability. Critical for limiting rental-business liability.

  • Handover tablet workflow

    Tablet handover is the digital handover/return process on a rental tablet: damage map, photo documentation, digital signature, PDF contract generation in one flow instead of paper and stamps.

  • Weather cancellation policy

    A weather cancellation policy is the set of rules for when a rental refunds a deposit on weather-driven cancellations: wind, rain, storm. Critical for water, event, and outdoor-sports verticals.

  • Sanitation cycle

    A sanitation cycle is the sanitary procedure between rentals of medical or other sensitive equipment: UV, chemical, manual. Critical for medical rentals (regulatory compliance) – without a confirmed cycle equipment can't be re-rented.

  • Replacement vehicle rental

    A replacement vehicle is a car rented to a customer while their own vehicle is being repaired after an accident (covered by third-party, own liability, or comprehensive insurance). Specific workflow with claim number, workshop details, and assignment of rights to the insurer.

  • Multi-niche rental business

    Multi-niche rental is a business model where one company operates 2+ rental categories (cars + motorcycles + bikes, kayaks + SUPs + jet-skis). Requires a system with per-niche operational config and shared customers + billing.

  • Online booking widget

    An online booking widget is an embeddable web component letting customers reserve vehicles/equipment online 24/7 without contacting the office. Conversion-critical: without it customers call and often pick a competitor.
