Handover tablet workflow

TL;DR

Tablet handover is the digital handover/return process on a rental tablet: damage map, photo documentation, digital signature, PDF contract generation in one flow instead of paper and stamps.

Definition

Tablet handover workflow is the digital-first vehicle (or equipment) release and return process, where every step traditionally done on paper moves to a tablet running the rental app: document verification, damage map, condition photography, mileage/hour readings, contract signature, waiver signature. All in one continuous flow, typically 4–8 minutes vs 15–25 with paper.

How it works

Typical flow: 1) Staff opens the reservation on tablet (QR scan from customer card or pick from list). 2) Checklist appears: documents OK, customer data OK, deposit approved, optional add-ons. 3) Damage map: staff taps damage locations on the vehicle diagram. 4) Photo documentation: 4–8 photos from different angles. 5) Mileage / hour reading. 6) Customer signs on tablet. 7) Auto-generated PDF contract with map and signature goes to the customer's email and reservation folder. 8) Vehicle marked 'released'. Return – identical flow in reverse, comparing damage map and mileage.

Why it matters for operators

Without tablet workflow: paper (lost forms, illegible signatures), photos in staff phone (random folder), no audit log. With tablet workflow: noticeably faster handover, fewer disputes thanks to photos and a digital signature, a full audit log. The customer sees professionalism: 'this rental works like a modern agency, not a corner shop'.

How OneRental handles it

OneRental runs on a tablet in the browser (PWA), no install. Optimized for iPad / Samsung Tab. UX built for counter pickup: big buttons, clear flows, no workflow-blocking popups. Damage map with 4 vehicle views, native photo camera, stylus-friendly signature, PDF contract generated automatically. It's designed to survive brief connectivity hiccups at the counter; full offline mode is on the roadmap.
